A Pivotal Moment for Change

Goulston & Storrs knew they needed to modernize their printing and scanning processes. Their offices had printers of all shapes and sizes, creating a challenging print infrastructure.

The firm was also committed to a digital transformation where documents are easily accessible in their document management system, NetDocuments. No longer would they search through boxes of files or manage off-site storage.

Then, the firm hit an inflection point. They were in the middle of a massive transition, retrofitting their Washington, DC, office, relocating their New York team, and moving their Boston headquarters. It was the perfect opportunity to optimize their document workflows.

The Challenge: Security and Simplicity

Goulston & Storrs had three major goals:

Meet Client Security Requirements: Large financial clients require secure print release to maintain confidentiality.

Simplify and Standardize: The firm’s Boston office alone had over 100 printers, many of them small devices scattered throughout the building.

Scanning Efficiency: With significantly reduced storage for physical files, being able to efficiently scan documents was critical.

The solution? Goulston & Storrs partnered with nQ Zebraworks to implement PrintQ and ScanQ, a new level of efficiency to the firm’s document workflows.

PrintQ: Streamlining Printing Across Offices

The first step was tackling the firm’s print infrastructure. They drastically reduced their printer fleet, cutting down the Boston office’s 100 devices to just 14 strategically placed MFDs and four more in the centralized print center. This standardization significantly reduced the IT overhead of managing the printer fleet.

With PrintQ secure release, users can now print from anywhere and release their jobs at the most convenient device upon arrival. This hybrid-friendly approach meant that whether an attorney was heading to the Boston, New York, or DC office, their print jobs would be waiting for them at any office at the most convenient printer.

These workflows are a part of everyone’s day-to-day life, so no news is good news. It just works.

ScanQ: Simplifying Document Workflows

Although scan-to-email is convenient for one-off documents, it’s more challenging when doing backscanning. The firm had exactly that experience initially eliminating physical files, and can now see the benefit first-hand of scanning directly to NetDocuments with ScanQ.

Instead of digging through inboxes, documents are immediately profiled in NetDocuments for easy access.
